Set up Shifts in ProPunch Follow
Shifts are used to configure work schedules. They can also be used to override, for an individual employee or group of employees, global settings such as when midnight occurs, the maximum time allowed on the clock, etc.
Notes:
- If a shift is assigned to one or more employees, there will be no Delete icon available. A shift can only be deleted when no employees are assigned to it. Click the Employees icon to see a list of employees assigned to the shift. This view also allows easy navigation to the employee profile where the shift can be unassigned.
- For an employee assigned to a fixed shift, the employee starts and ends work at specified times.
- A flexible shift allows an employee to start at any time and work a specified amount of time.
To configure shifts, follow these steps:
- Log in to the ProPunch application with an administrator profile.
- Click on Company Setup >> Shifts.
- Click Add Shift.
- Enter a Name.
- Select the Shift Type: Fixed or Flexible.
- Configure the shift settings.
- Click Save.
Fixed Shifts:
- Shift Start – Set to time of day employee is scheduled to start work.
- Early IN – Enter in minutes the amount of time before Shift Start to define the window in which an early punch IN can occur and it be treated as if it occurred exactly at Shift Start.
- Late IN – Enter in minutes the amount of time after Shift Start to define the window in which a late punch IN can occur and it be treated as if it occurred exactly at Shift Start.
- Shift End – Set to time-of-day employee is scheduled to stop work.
- Early OUT – Enter in minutes the amount of time before Shift End to define the window in which an early punch OUT can occur and it be treated as if it occurred exactly at Shift End.
- Late OUT – Enter in minutes the amount of time after Shift End to define the window in which a late punch OUT can occur and it be treated as if it occurred exactly at Shift End.
- Work Day Starts – This setting determines when midnight should take place. The default value is 12AM.
- Max Time On Clock – This setting prevents the application from calculating erroneously large worked time totals (and possible overtime) due to missed punches. The application assumes that an employee has missed a punch after the maximum time on the clock has been exceeded. After the maximum time has passed since the last IN punch, the employee's status will be automatically changed to OUT. The default value is Shift Length plus 4 hours.
- Shift 24 Hours or Greater – Check this setting for shifts that are 24 hours or greater in length. Once enabled, the Shift Length must be specified. Valid values are 24:00 to 72:00.

Shift Crosses Midnight – This setting determines how the application will treat time entries that cross midnight (Work Day Starts).
- Apply Hours to Date of IN Punch – Select this option if all worked time in a shift that crosses midnight should be allocated to the date the shift starts.
- Apply Hours to Date of OUT Punch – Select this option if all worked time in a shift that crosses midnight should be allocated to the date the shift ends.
- Split Hours Between Days – Select this option if the worked time in a shift that crosses midnight should be split between two days, based on Work Day Starts.
Flexible Shift:
- Shift Length – Set this to the amount of time the employee must work in a day (or one shift). Valid values are 00:01 to 72:00.
- Work Day Starts – This setting determines when midnight should take place. The default value is 12AM.
- Max Time On Clock – This setting prevents the application from calculating erroneously large worked time totals (and possible overtime) due to missed punches. To Edit a Shift, follow these steps:
- Go to Company Setup >> Shifts.
- Click Edit for the shift to be edited.
- Click Save.
To Delete a Shift, follow these steps:
- Go to Company Setup >> Shifts.
- Click Delete for the shift to be removed.
