Using the Utility Tool to Add Time, Recalculate Timecards, or View Shift Rules, Pay Calculations, or Timesheet Changes Follow
This guide provides an overview of the Utility Tool, a feature designed to streamline time and attendance management. Accessible from the timesheets in the web portal, it helps you efficiently manage time entries, shift rules, pay calculations and timesheet changes.
In this article:
Accessing the Utility Tool
- Log in to the ProPunch application with an administrator or supervisor (with credentials) profile.
- Navigate to the correct pay period in the Manage Time section.
- Click the Open Timesheet
icon for the employee.
- Click the Utilities menu
at the bottom of the timecard.
The Utility Tool offers five options:
1. Add Time
The Add Time option allows you to add time entries to a timesheet. You can:
- Add a single punch or multiple punches.
- Define a specific time period by entering the "From" and "To" times.
- Add Time, Holidays, Sick, or Vacation.
- Apply Work Codes to the added time.
To add time:
- Select Add Time from the Utilities menu.
- Enter the necessary details.
- Click Save to apply the time to the timesheet.
2. View Shift Rules
The Shift Rules option lets you see the shift assignments for the user. This includes details about the shifts currently assigned.
To view the employee's shift rules:
- Select Shift Rules from the Utilities menu.
- Click on the shift rule profile name to pull up the shift rule settings or click Close.
3. View Pay Calculations
The Pay Calculations option allows you to see the pay calculation rules applied to the user. This helps in understanding how the user's pay is calculated based on the time entries.
To view the employee's applied pay calculations:
- Select Pay Calculations from the Utilities menu.
- Click on the pay calculation profile name to pull up the Pay Calculation Settings or click Close.
4. Recalculate Timecards
The Recalculate Timesheet option recalculates the timesheet using the employee's latest pay calculation rules. This is particularly useful if there are discrepancies in the timesheet.
To recalculate the employee's timesheet:
- Select Recalculate from the Utilities menu.
- Click Continue to recalculate the timesheet with the employee's latest pay calculation.
5. View Timesheet Changes
The Timesheet Changes option provides an in-depth view of any changes made to the timesheet. This can include:
- Edits such as deleting, editing, or adding time.
- Details of the actions taken and the affected fields.
- Pre-edit and post-edit values for the fields.
- Local IP address
To view edits and changes to a timesheet:
- Select Timesheet Changes from the Utilities menu.
- Use the Change View option in the Tools menu at the top right of the report to adjust what information is shown and in what order.
- Use the Export to xls or the Export to csv option to export the timesheet changes report.
