ES900 Comments Follow
You have the option to print both preset and customized comments with your ES900 Time Recorder. Before setting either type of comment you will need to set the print order which we discuss in more detail in our Print Order article.

When you are setting a digit or an option on the display, flashing means that it is ready to be changed. You must press SELECT until you reach the desired digit or option. Then press SET to lock the desired value in place. Printing is always disabled while settings are being changed. Once the final SET has been completed in any given operation, printing is enabled.
Preset Comments
Prior to enabling Preset Comments, refer to our Print Order article to ensure that you have set up the print order options to allow Preset Comments; options 12 through 18 allow Preset Comments.
To set one of the thirteen (13) preset comments on an ES900:
- Unlock the unit and remove the cover. Refer to our Getting Started article for how to Open the Unit.
- Press SELECT until the arrow
points to COMMENT.
- The flashing digit will indicate "Comment Options".
- Press CHANGE until the displayed option matches your preferred comment according to the chart below.
- Press SET until the unit returns to normal operation mode.
- Replace the cover and lock the unit. Refer to our Getting Started article for how to Close the Unit.

Customized Comments
For more personalized messages, you can create a customized comment. You can print up to three lines with a maximum of 31 characters per line. However, the number of acceptable characters is dependent on the size of the font used; the customized comment option will override any previously set font size selected.
Each letter and space is assigned a number of dots in a dot matrix style. There is a limit of 160-185 total dots that can be entered depending on the font size. Refer to the Character Code for Alphanumeric section below for more information.
To avoid errors, we suggest documenting your lines first before entering them into the device. You can use the ES900 works sheet linked at the bottom of this page for assistance.
Print Position
When setting the customized comment, you can choose the print position to be left-aligned, centered, or right aligned. After selecting the Customized Comment (30) for the Print Order, the print position option will become available.
To set up a customized comment on an ES900:
- Set the print order and print position.
- Program the first line.
- Program the second line.
- Program the third line.
- Complete a Test Print.
- Adjust if necessary.
Set the print order and print position.
- Unlock the unit and remove the cover. Refer to our Getting Started article for how to Open the Unit.
- Press SELECT until the arrow
points to PRINT ORDER. The flashing digit indicates "Print Order Options".
- Press CHANGE until the display shows "30" for customized comments. (Refer to our Print Order article for more information regarding Print Orders).
- "Print Position" will appear next to the flashing digit "Print Order". This option is only available when using Custom Comments.
- Press SET. The flashing digit will change from "Print Order" to "Print Position".
- Press CHANGE until the displayed option matches your preferred print position according to the chart below.
- Press SET to confirm your choices.

Program the first line.
- Press SELECT until the arrow
points to COMMENT.
- The "Comment Line" will show C1 for the first comment line. The flashing digit will indicate "Character Position".
- Press SET to select the first character of the first line.
- The flashing digit will change from "Character Position" to "Character Code".
- Press CHANGE until the displayed character code matches the first character you want printed. Refer to the Character Code for Alphanumeric tables or your completed Customized Comments Work Sheet.
- Press SET. The "Character Position" will change from "1" to "2".
- Press SET. The flashing digit will change from "Character Position" to "Character Code" allowing you to set the 2nd character.
- Press CHANGE until the displayed character code matches the 2nd character you want printed.
- Press SET. The "Character Position" will change from "2" to "3".
- Press SET. The flashing digit will change from "Character Position" to "Character Code" allowing you to set the 3rd character.
- Press CHANGE until the displayed character code matches the 3rd character you want printed.
- Press SET. The "Character Position" will increase.
- Press SET again. The flashing digit will change from "Character Position" to "Character Code"
- Press CHANGE until the displayed character code matches the character you want printed.
- Repeat steps 12-14 until your first line is complete.
Program the second line.
- Press SET until the comment line displays "C2".
- The flashing digit will indicate "Character Position" again and be set to "1".
- Press SET to set the first Character Code of the 2nd line. The flashing digit will change from "Character Position" to "Character Code".
- Press CHANGE until the displayed character code matches the character you want printed.
- Press SET. The flashing will change from "Character Code" to "Character Position" and "Character Position" will increase.
- Press SET. The flashing will change from "Character Position" to "Character Code".
- Repeat steps 4-6 until your second line is complete.
Program the third line.
- Press SET until the comment line changes to "C3.
- The flashing digit will indicate "Character Position" again and be set to "1".
- Press SET to set the first Character Code of the 3rd line. The flashing digit will change from "Character Position" to "Character Code".
- Press CHANGE until the displayed character code matches the character you want printed.
- Press SET. The flashing will change from "Character Code" to "Character Position" and "Character Position" will increase.
- Press SET. The flashing will change from "Character Position" to "Character Code".
- Repeat steps 4-6 until your second line is complete.
- Press SET until the unit returns to normal operation mode and preform a test print.
- Replace the cover and lock the unit. Refer to our Getting Started article for how to Close the Unit.
Completing a Test Print
To ensure your customized comments are correctly set up, perform a test print. The device will need the document inserted three times, once for each line of customized print.
To print a customized comment, follow these steps:
- Insert the document where you would like the first line to print.
- Perform the first print. This will print line 1.
- The display will show "C2". Adjust the document and insert it again.
- Perform the second print. This will print line 2.
- The display will show "C3". Adjust the document and insert it again.
- Perform the third print. This will print line 3.
Confirming or Changing Customized Comments
If you need to adjust or modify your programmed customized comments for any reason, navigate to the character position in the comment line you want to change, and adjust the character.
To make changes to your customized comments on an ES900:
- Unlock the unit and remove the cover. Refer to our Getting Started article for how to Open the Unit.
- Press SELECT until the arrow
points to COMMENT.
- The flashing digit will indicate "Character Position".
- When the "Character Position" changes, the "Character Code" that has been set appears.
- If the "Character Code" is correct, press CHANGE to confirm and move on to the next character position. If it is incorrect, press SET to adjust the character.
- The "Character Position" will change to the "Character Code" after pressing SET.
- Press CHANGE until the displayed character code matches the character you want printed. Refer to the Character Code for Alphanumeric tables or your completed Customized Comments Work Sheet.
- Press SET. The flashing will change from "Character Code" to "Character Position" and "Character Position" will increase.
- Repeat steps 5 - 8 until all adjustments have been made.
- Press SET until the unit returns to normal operation mode and preform a test print.
- Replace the cover and lock the unit. Refer to our Getting Started article for how to Close the Unit.
Character Code for Alphanumeric
When setting custom comments, you will need to coordinate the displayed code with the character you want to print. Below is a list of tables that provide the alphanumeric character codes for each character and the corresponding space each character occupies.
We recommend taking a look at the various tables and using our provided Customized Comments Work Sheet or similar worksheet to document your lines first before entering them into the device.
