View and Edit ProPunch Timesheets Follow
The Manage Time section of My Employees shows a complete list of all employees in a single view for easy navigation between timesheets. You can view timecards, add and remove entries, edit entries, add multiple entries simultaneously, and add notes from this screen.
Notes:
- Manual time entries will appear with a red asterisk on the timesheet.
- Administrators can configure supervisors to have the ability to modify timesheets.
- Notes can be viewed by the employee, all administrators, and any supervisors to which the employee is assigned.
To view an employee's timesheets, follow these steps:
- Log in to the ProPunch application with an administrator or supervisor (with credentials) profile.
- Go to My Employees >> Manage Time and navigate to the desired pay period.
- A list of your assigned employees will appear in the display pane on the left.
- Click on the Open Timesheet icon for the employee to view an employee timesheet.
- Once the timesheet is open you may use the Previous Timesheet or Next Timesheet icons located at the top center of the timesheet or click on the Calendar icon to navigate to different timesheets for the employee.
To add a time off entry using the Utility tool, follow these steps:
- Log in to the ProPunch application with an administrator or supervisor (with credentials) profile.
- Navigate to the correct pay period in the Manage Time section.
- Click the Open Timesheet icon for the employee.
- Click the Utilities menu at the bottom of the timecard.
- Select Add Time.
- Enter the necessary information and click Save.
To add an entry to a timesheet, follow these steps:
- Log in to the ProPunch application with an administrator or supervisor (with credentials) profile.
- Navigate to the correct pay period in the Manage Time section.
- Click the Open Timesheet icon for the employee.
- Click the date to which the entry should be added.
- Select the Entry Type:
- Time.
- Time Off.
- Amount.
- For Time and Time Off entries, you can enter From and To times.
- For Amount entries, you can enter a number with up to 2 decimals.
- Work codes can be selected if applicable.
- Click Save.
To add multiple time or time off entries, follow these steps:
- Log in to the ProPunch application with an administrator or supervisor (with credentials) profile.
- Navigate to the correct pay period in the Manage Time section.
- In the left display pane, check the box next to each employee's name whose timesheets needs to be modified.
- Select all employees by checking the box located in the header of the employee list.
- Click on the green Add Time icon on the bottom menu.
- The One Day option is selected by default. Select Multiple Days option to add the same entry to the timesheets of the selected employees for a range of days.
- Enter the date for one day or date range for multiple days.
- To exclude a day within a selected date range, uncheck the box associated with that day.
- Select the Entry Type: Time or Time Off.
- Select work codes, if applicable.
- Click Save.
To edit an entry on a timesheet, follow these steps:
- Log in to the ProPunch application with an administrator or supervisor (with credentials) profile.
- Navigate to the correct pay period in the Manage Time section.
- Click the Open Timesheet icon for the employee.
- Click the Edit icon for the entry.
- Make the necessary changes.
- You also have the option of double-clicking the time directly on the timesheet to edit the entry. Press Enter to save.
- Click Save when done.
To remove an entry from a timesheet, follow these steps:
- Log in to the ProPunch application with an administrator or supervisor (with credentials) profile.
- Navigate to the correct pay period in the Manage Time section.
- Click the Open Timesheet icon for the employee.
- Click the Edit icon for the entry and then click the Delete button.
To add a note, follow these steps:
- Log in to the ProPunch application with an administrator or supervisor (with credentials) profile.
- Navigate to the correct pay period in the Manage Time section.
- Click the Open Timesheet icon for the employee.
- Click the Notes icon for the desired day.
- Enter your note in the Notes window below the historical notes section.
- Up to 1000 characters can be entered.
- Click the Clear button to delete all text.
- Click Save when done.
To view the timesheet edit history, follow these steps:
- Log in to the ProPunch application with an administrator or supervisor (with credentials) profile.
- Navigate to the correct pay period in the Manage Time section.
- Click the Open Timesheet icon for the employee.
- Click the Utilities menu at the bottom of the timecard.
- Select Timesheet Changes.
- Enter the necessary information and click Save.
